An automatic mileage log from GPS – how it works
Want to be rid of writing entries by hand? We explain how an automatic mileage log from GPS records journeys and what to expect from it in practice.
How an automatic mileage log from GPS works
An automatic mileage log from GPS rests on a small unit in the vehicle that continuously transmits the position. From that data the application assembles individual journeys with the route, time, distance and odometer reading.
Your role narrows to checking and classifying the type of journey. Estimating distances and writing entries into a paper notebook in the evening both disappear.
The GPS unit and the position interval
SaveTrack uses proven Teltonika units, which sense the vehicle's position reliably. The position updates every 60 seconds while driving, which gives a precise, continuous route with no needless jumps.
Recording runs entirely in the background; the driver has nothing to attend to. A journey starts and ends automatically according to the vehicle's movement.
Classifying journeys as Business, Private or Unclassified
You simply mark each journey as Business, Private or Unclassified. For business journeys you add the purpose; private ones only need marking and counting into the distance.
The Unclassified category acts as a safety net – you see immediately which journeys are still waiting to be categorised, so no record escapes without the correct type.
Export to PDF and XLS for your accountant
You export the finished mileage log to PDF or XLS with a single click. Your accountant thus receives clear documentation with all the required details for the chosen period.
The export contains routes, distances, times and journey types, so it is ready to go straight into your accounts or a tax return.
Audit trail and credibility
If you edit a record, the change stays in the audit trail – it is clear who edited the journey and when. That gives the records greater credibility than paper, which can be rewritten without trace.
The data is stored encrypted, with the customer's own key, and the keys are kept separately. This is bank-level security in line with GDPR – any breach would yield nothing but unreadable ciphertext.
Price and terms
SaveTrack starts from €6 a month per vehicle. With annual payment you get the GPS unit included and a loyalty discount gradually lowers the price from €6 to €5 and down to €4.
There is no lock-in of any kind and Europe is included, so you keep records on journeys abroad too. If your vehicles are also subject to the obligation to have a tachograph, bear in mind that it is a separate system — GPS does not replace it. Confirm the suitability of the solution for your accounting with your accountant.
